
Open Tours: These policies encompass tours where individuals or small groups (1-11 people) sign up directly through the Backside Tours office. Such open tours are found under the Cool Deals heading.
Open Tour Payment Policies: All dates indicate payments being at the Backside Tours office.
- A $100 deposit per person is required to reserve your seat(s) aboard any Backside Tour’s open trip. This deposit is non-refundable but transferable to a replacement person. Please see our Cancellation Policy and Replacement Policy below.
- Full payment/remaining payment is due 28 days prior to departure on any open tour. If you have already provided the $100 deposit, Backside Tours will process remaining payment 28 or less days in advance, on the Visa or Mastercard provided at the time of booking as per our Credit Card Consent policy. Please see this policy below.
- If full payment has not been received or is unable to be processed 28 days in advance, your seat may be sold to someone else. You will not be eligible for any refund.
Open Tour Cancellation Policies: These policies apply to confirmed travel booked through Backside Tours. Charges will be based on the date the cancellation was received via email or fax. Backside Tours regrets that there will be no exceptions to any of the charges below. Please note that some properties/destinations have more severe cancellation penalties. If applicable, these policies will be noted on the contract and will prevail.
- 29+ days prior to departure: initial deposit forfeited.
- 14-28 days prior to departure: initial deposit + 50% of full payment forfeited.
- 0-13 days prior to departure: full payment forfeited.
Open Tour Replacement Policy: This policy applies for confirmed travel booked through Backside Tours.
- 15+ days prior to departure: no administrative fees applied for finding a replacement or rooming changes.
- 0-14 days prior to departure: due to the increasing costs of administration and communications, a $10 administrative fee will apply for rooming list or replacement name changes after final payment has been made.
Open Tour Rooming Policy: This policy applies for all tours booked through Backside Tours. Individuals are encouraged to find their own room companions for our tours. Backside Tours can not be responsible for finding your room companions.
- Individuals or groups are required to organize their own room companions. If you are an individual or a small group and wish to pay the lower “max occupancy” rate, Backside Tours will try to accommodate your wish and match you or your small group up with other individuals or small groups.
- 14 days prior to departure: additional payments are due for less than max occupancy rooms.
Group Tours: These policies encompass tours where a group organizer(s) have indicated they will contract an entire bus (or a number of buses) for their group. Payment policy and cancellation policy will be as per your contract.
Cancellation Policy:
- Cancellation date is that which Backside Tours receives confirmed written or email cancellation.
- 61+ days prior to departure: all deposits are refundable minus $750 per bus initial deposit.
- 30-60 days prior to departure: initial deposit and $2000 per bus interim payment are NOT refundable.
- 0-29 days prior to departure: all payments are non-refundable
Rooming List:
- Due with full payment. changes are permitted up to 7 days prior to departure (no charge for transferring names).
- No refunds for group member cancellations 0-30 days prior to departure or after final payment has been paid.
Full Payment Date:
- 30 days prior to departure for groups staying in on-hill accommodations.
- 14 days prior to departure for groups staying in-town.
- Or, as per your contracted payment dates.
Damage Deposit Policy: Trip participants are responsible for any damages or incidental charges to accommodation properties or damages to any equipment, while on the tour. All open and group tours are responsible to provide a credit card deposit or cash deposit to the accommodation property at the time of check in. Backside Tours will inform you of the options as outlined on your contract.
Non-Suitable Funds (NSF) Cheques: A one time $20 NSF fee will be applied to all returned cheques, whether personal or for a group tour payment.
Credit Card Consent: The cardholder’s verbal authorization of the use of their credit card indicates consent has been provided for Backside Tours to process deposits, full payments and any administrative fees as per Backside Tours’ payment, cancellation and replacement policies. Due to the increase of fraudulent credit card use, the card holder must provide verbal credit card authorization.
GST & Tax Policy: Unless otherwise indicated, all pricing on our website and promotional materials includes the Goods & Services Tax, National Park fees, Alberta’s 4% Tourism Levy on accommodations, and BC’s 8% Room Tax.
Waiver: All participants must sign a waiver prior to departure and generally are completed on the bus at the time of departure. If you are a group organizer, you will be provided a waiver copy prior to departure.
Unused Tour Services: The nature of travel involves risks and unpredictable weather and therefore Backside Tours Inc. can not assure departure times, arrival times or conditions. Backside Tours travel packages are inclusive packages and can not be seperated into individually priced components, unless services are agreed upon, by contract, to be split. Backside Tours can not guarantee that refunds or exchanges can be made for unused travel services, services that may be cancelled after your departure or for any other circumstances beyond the control of Backside Tours. This includes road closures resulting in groups being rerouted to other destinations.
Liability: Backside Tours Inc. is solely acting as an agent for the suppliers who provide all accommodations, transportation, snow sport activities and other services for the adventure package. Although we carefully select our suppliers, the suppliers are independent parties over which Backside Tours exercises no control. Therefore, we are not responsible for their acts or omissions and all services provided are subject to the conditions imposed by the suppliers. The participants acknowledge that Backside Tours’ representatives are not chaperones but merely facilitators of the package. Backside Tours’ representatives do not instruct or otherwise accept responsibility for the participant while he/she is engaged in snow sport activities or during any portion of the tour.
Undesirable Behaviour: Backside Tours reserves the right to terminate the right of a participant to continue with the package if he/she engages in behaviour that is deemed by Backside Tours to be detrimental to the safety of himself/herself or others, or if the participants behaviour causes damage to the property of a supplier or if the participant refuses to sign the mandatory waiver at the time of departure. If a participant’s continuation in a tour is terminated, no refund will be granted and the participant will be responsible for any and all costs associated with his/her return to the place of departure.
Injuries: The Backside Tours guide(s) must be notified of all injuries. If required, the guide(s) will assist the ski patrol or EMS. If the injury requires hospitalization, an ambulance will be called to transport to a local hospital. If possible, the guide(s) will arrange to have the coach pick up from the hospital on the way home. If a longer stay is required at the hospital, guides will ask to have a friend stay at the hospital with the injured person. The guide(s) will assist to arrange hotel accommodation and transportation home, if necessary. However, the individual is responsible for all expenses that may be incurred due to the injury.
Refunds: Refunds will solely be at the discretion of Backside Tours Inc. Written submissions will be reviewed.
